Data Migration With German Precision: A LinkFixer Advanced Case Study

Recently, we sat down for a one-on-one with Rüdiger Bohle, Chief Sales Officer for migRaven, an IT services and consulting company in Berlin, Germany. We thought his insight into how his company has benefited from their clever use of LinkFixer Advanced™ was worth sharing.
LinkTek: Rüdiger, can you describe the specific steps of your migration process that were simplified by LinkFixer Advanced?
Rüdiger: Yes, I can. So, what we do at migRaven is that we have a software — developed and sold by ourselves — that helps customers migrate their data automatically. Overall, this makes the migration easier to manage.
We take this batch, put it into LinkFixer Advanced, and then we use the Inoculate tool to protect those files in that specific batch.
Before the migration itself, we clean up all of the data. Often, up to 80% of all data on the customer’s site doesn’t need to be migrated at all because it’s so-called ROT data: redundant, obsolete and trivial. It’s data that is no longer needed, so it often doesn’t need to be migrated.
Where LinkFixer Advanced comes into play is that we usually migrate department by department because our approach with our software, and also strategy-wise, is to give the power of the migration to the departments, to the end users, because those end users are best suited to decide where their data needs to go. They also know which data needs to go and which data can be deleted or archived, for example.
So, what we do is we go department by department. The department itself decides which directories are going, and they decide where those directories are going. Then we do a batch migration.
LinkFixer Advanced makes it very, very easy for us.
So, we can say, for example, that Department A is migrating on that specific day. They’ve prepared their data in our software and we now have a migration batch. What we do then is take this batch, put it into LinkFixer Advanced, and then we use the Inoculate tool to protect those files in that specific batch.
The next step is to migrate data to the target path with our software. Then LinkFixer will run Cure on the migrated data in the target environment.
That specific department can get straight back to work. All their data has been migrated, all their links in the migrated files have been protected or fixed with LinkFixer Advanced, and that makes it very, very easy for us because we don’t need to invest more time in preparing the data itself for migration.
Otherwise, we would need to spend more time working with the department on their files and the links, and so on.
Also, after the data is migrated and the Cure function has run, the department is ready to get back to work ASAP, with everything working 100%.
So, LinkFixer Advanced reduces the downtime for the department, it reduces the prep time within the relevant department and reduces the external costs for the customer because he doesn’t need as many consultant service hours to prepare for migration.
We avoid the overall manual intervention before and also after the migration. And that is basically how we use the LinkFixer Advanced in our migration processes.

LinkTek: What impact did LinkFixer Advanced have on reducing broken links during your migration?
Rüdiger: It’s about reducing the time needed per customer by our consultants, reducing the overall prep time and the downtime of the migration. LinkFixer Advanced also reduces any post-migration issues, such as data not working anymore due to broken links, which basically means the department will be finished with the migration project sooner. It’s much faster, with lower costs. Also, issues after the migration are significantly reduced.

We specialize in very big migration projects, huge migration projects. We’re talking about petabytes of data. Even though we work to reduce the data volume, they’re still big customers.
Before LinkFixer Advanced, we were not able to do some of those projects because we knew the manual labor needed to handle the link structuring, the preparation, and then fixing the broken links after the migration, together with the potential risk of business processes being interrupted, it was too much. Having critical business processes broken after the migration? I mean, that is the worst.
You can plan for the manual labor that you need for a migration. You can plan for the manual labor to fix links, for example, but what you can’t plan for — and what has an even bigger impact — is when crucial business processes in your company are not working as they should be because links are broken, for example.
That is where LinkFixer came in. It basically enabled us by giving us this very big function, which meant we were able to handle migrations of a certain volume, which we were not able to before.
LinkTek: What features of LinkFixer Advanced did you find most beneficial for your organization?
Rüdiger: We actually have a use for all of them. The Inoculate and Cure process, together with the batch processing capabilities, is something that fits our software and migration style very well. The Inoculation is where you prepare something, and we prepare by selecting the needed data, so this is part of the prep phase of the migration.
The Cure feature cures everything that comes after, when the migration is actually done. For us, this is when all the actual directories have been migrated, and that is how we like to use it in every project.
We specialize in very big migration projects, huge migration projects. We’re talking about petabytes of data.
But besides that, I’m a big fan of the Modify Links tool because we have customers coming to us, for example, when they are already in their migration project, saying, “We kind of miscalculated the project. We’re in a situation where we can’t help ourselves anymore. This migration process is not going the right way. We need professional help.”
We often have SharePoint® migration customers who say, “We already got some data into SharePoint, let’s say 20% of what we think we need, but we need the other 80% and we can’t do it on our own. We need your help to get the project to 100%.”

A smooth transition with zero post-migration downtime? That’s a win-win.
In this situation, it’s too late for Inoculate and Cure on the 20% already migrated, for example, and that’s when we rely on Modify Links. So, we’re big fans of that too.
As I said, the Inoculate and Cure process is basically the most beneficial for us, but we are very happy that we have another solution like the Modify Links tool.
LinkTek: How has your team’s workload changed, and have there been any notable improvements in project turnaround times?
Rüdiger: Well, we are a reseller of LinkFixer, and we use it in our projects, which gives us a very good insight into its benefits.
But I can say that the workload of my team has gone up with LinkFixer because we have more projects that we can do, so they have more work, which is a very, very good thing!
But the workload within the projects, and also the project turnaround time for overall migrations, has obviously been significantly reduced. For me, LinkFixer is a solution that is very easy to calculate and easy to understand in terms of the return on invest, the ROI. It makes it very easy to calculate in a project budget, for example.

Increased profits for you, reduced costs for your clients? Jackpot.
We have developed a little optimization between LinkFixer and our software, which goes back to the migration process that I explained.
The Inoculate and Cure will be triggered automatically by our software. First, the Inoculate runs. Then LinkFixer triggers back when the Inoculation is finished.
Then, after the migration is completed, our software triggers LinkFixer again, and the Cure starts. When the Cure is finished, we get feedback. It’s all automated, which is a great thing.
LinkFixer Advanced really improves the impact one person, one professional on our team, can have on a customer’s project overall.
